A meeting of the Executive Board of the Francis Howell High School Choir was held at 6:00pm on Monday, March 31, 2014 at Panera on Mid Rivers.

Twitter: Karey has set up a choir twitter account FHHS Choir.

Fundraising: Mary Hediger suggested GoFundMe.com as a crowd funding way that the children might set up individual accounts to help with their choir accounts.  Mary reviewed information to try to lock down a plan for the Rascal’s game.  We discussed whether to include a voucher for food for $6.

Spring Concert: The concert is April 24th.  Michelle will set up the volunteer sign up.  We need around 8 volunteers.  Tickets – 2, CD Sales – 1, Chaperones – 2 before, 2 – during, Rascals tickets – 1.  We are not able to use the fellowship hall following the concert, so we will plan to do the cake reception after singer’s choice on May 15th.

Choir Picnic: May 18th at 1:00 – 5:00pm at the Cottleville Park Pavillion.  The president books the pavilion after Jan 1st every year.  We usually have the picnic the weekend after Mother’s Day.  Hediger’s will bring a sound system.

Desserts – Treble, Women’s Chamber

Meat & Drinks (Supplied by board), Water – Hediger’s, Soda – Snider’s, Walmart Chicken - ?

Mary Hediger and Pat Hutfless getting picture frames for senior gifts.  Frames are $21.55 each.  They are 8x10 frames that hold a 4x6 photo from personalizationwall.com.

KC Trip: Permission forms went out last week.  They are due Monday the 7th. Karey will send an email with the school presentation to parents.  The students need to take their concert attire. 

Recruiting: Karey is holding a recruiting breakfast during Howell time on Wednesday, April 9th.  She also offered to bring students to classrooms during EOC’s for 10 minute singing breaks between testing.  We discussed holding events after school such as a coffee house night or Karaoke/open mic night.  Viking Way Spring celebration on April 16th might also be an opportunity to do a fun performance. 

Robe Update: Choir robes arrived on Friday.  The boosters have a commitment of $2645.  The choir has a master list of robe numbers versus height.  Need to put the robes the correct garment bags.  Debbie Cusimano offered to come in and help do the inventory.

Scholarship: Karey has an application she is developing for a scholarship for current FHHS seniors in choir who will have a major or minor in music in college.  We discussed setting the scholarship value at $500.

Rascal’s Tickets: Mary is talking with the Rascals about a , and the choir is considering performing at a game on August 16th, 17th, 30th or 31st.

Treasurer’s Report: Updated on Feb 24th.  Madrigal   receipts are still due. 

District Solo & Ensemble Contest: We have a record 50 students performing in 34 events.  The boosters will provide a small amount of money to thank the accompanists, Sally Mason and John Varwig for the work they do to support our students.

Senior Night: This year senior night was at a girl’s basketball game in February.  Some discussion about having senior night for next year’s choir at a basketball game or at the singer’s choice concert.

Robe Update: PO has gone through to Hoffman Brothers.  If the robes come in prior to March 7th, boosters will need to come in to help inventory the robes so that we may debut them at large ensemble.  The boosters will need to cut a $2,700 check to cover the robe cost amount above the budget from the school.  The order is in process.  A delivery date is to be determined.

Spring Concert: We discussed having a cake reception following the spring concert to allow people a chance to mingle.  Perhaps we could meet in the fellowship hall downstairs.  A suggestion was made to use a tablecloth and have each of the seniors sign it.  This could be brought back every year to continue to fill.

KC Trip: The itinerary is a go.  The money for the trip is due before spring break.  Chaperones are $205 and students are $125.  The choir will be staying at Comfort Inn & Suites in downtown KC. 

Senior Gifts: Mary and Pat will meet with Karey to discuss ideas for a gift.  The budget allows $20 per senior.

Choir Picnic: May 18th at 5:00pm at the Cottleville Park Pavillion.

Cardinal’s Tickets: Kurt has been contacted by the Cardinal’s to select a date to sing for next season.  He asked for dates in September.

Treasurer’s Report: – Karen Snider had no formal report to file.  Admissions at the fall concert totaled $1,200.  Several new choir fees have been turned in.  Karen is working on updating the files so that Karey can present the student with late fines by the end of the semester.  Taxes have been filed.  D&B fundraising night has been finalized.  A check has been cut, and we are waiting for its arrival.  We bought a new script for the Madrigal dinner.  We have purchased 2500 bags at $500 to sell at $0.50/ea at Madrigal dinner if people need something to carry their goods home in.

Fundraising: n/a    

Madrigal Dinner: Moving soundboard to the back of the room.  We need 2 sets of peddlers for 50/50 and raffle.  We also should have a person at the raffle table.  Mary is looking for baskets to put items in.  Reservations are running ahead of last year.  We are going to add a jar at the raffle table to collect funds to help with medical costs for Michael Batham.  Karey needs three new microphone stands.  Karey is working on the program.  Outside advertising is coming along including Mid Rivers.  Out & About for future resource.  Chorus peddling ~ 16; Treble Choir serving ~34; Women’s Chamber gophers/caroling ~15; Concert Choir peddling ~30; Chamber Choir court.  Chamber Choir – 4:00 arrival; Servers, gophers, carolers – 5:00pm arrival; Peddlers – 6:00pm arrival.

 Catering booked. Lighting order needs placed  same as last year.  Tables and chairs have been requested.  We may need to rent them next year.  The school district has been eliminating the ones we use as they age and not replacing them.  Building use and kitchen staff requests have been made.  We still need a dinner for the volunteers/Chamber choir Friday night. 

Madrigal Costumes:  Karey will follow up with Bonnie to see how the costumes are going.

New Robes: Karey selected Hoffman Bothers in Owensville, MO.  Cost is $20,700 and they will personally deliver the robes because we are local.  Karey is submitting the bid on 11/26.  The bid will be on the board of education docket for 12/19.

New Business: We should consider a fundraiser for Jan/Feb to allow last minute opportunity for the chamber choirs to raise money for the trip to Kansas City.

Treasurer’s Report: – Karen Snider had no formal report to file.  Outstanding fees are almost 1 month overdue.  Karey requested an updated list to pursue fees through late notice and let students with unpaid fees know that fines will be added.

Fundraising: We made approximately $380 at the Dave and Buster’s Night.    

Booster T-Shirt: Karen Snider says the t-shirts are in and will be available for hand out at the fall Concert.

Metro 8 Honor Choir: 21 students tried out for honor choir.  14 students made the choir.  8 students qualified for All-State auditions.  The auditions will be held at 5:30 on November 7th

Fall Concert: Will be on November 12th at Zion Lutheran Church.  Volunteer coordinators need to set up sign up genius when we return from break.  We will need volunteers as follows: Admission – 2, CD sales – 1, Madrigal tickets – 1, and student monitors – 3.

Madrigal Dinner: Michelle Cummings has been confirming with school administration for Madrigal reservations.  She has confirmed with the caterer.  Karey has confirmed with the video people.  We need to order lights.  Mary Hediger has a solicitation letter and already has a few items coming in for raffle.  Mary will do a press release to solicit donations.  Still looking to reach out to a local restaurant to donate food for ~25-30 people for dinner for chamber before the Friday concert.  Michelle hasn’t started working on volunteers yet.  Debbie Cusimano might come help do an inventory of table settings to get ready in advance of the dinner.  We further discussed invitations/save the date cards and reservations.  We will include these papers in the fall concert program.

Madrigal Costumes:  New costumes are coming along.  We could still use more people to help with simple tunics and pants.

New Robes: Karey has a design for the new robes that she likes.  She is working with Steve Kiewiett to move forward on bids.  She wants to have a bid chosen to submit to the school board by November 15th.  She will also talk with Dave Witter to see if he needs any additional information.

Student Accident: Michael Batham was in a serious car accident on Saturday night, October 26th.  He is in critical condition in a coma in ICU at Children’s.  Chamber choir will be sending cards.  They may make a CD with them talking and singing for him.  They are planning to make a t-shirt in support of him.  We may include a note in the concert program in support of him.  Karey will contact his mom, Jill, to see if the family has any special needs or will benefit from food or gas cards while they are traveling to the hospital.  Boosters will send a $50 gas card.

Volunteer Coordinator – Susan Parker may step into this role.

 

Fundraising: Cardinals Game – Need to sell ~100 more tickets.  May sell up until the night of the game.  We discussed two new fundraising ideas.  Rene Cope brought in information on Dave & Busters.  We can do FHHS Choir nights where 10% of the nights proceeds go to the choir general fund.  We may also sell $10 power cards where the kids get $5 back into their general accounts.  Kurt Snider brought in information for a greenery sale at Christmas time.

 

Contract Night: Participation rate this year was low.  We discussed possible options of making mandatory only for new students.

Student Accounts:  Karen Snider has transferred the existing graduated student balances from the student accounts to the general choir account.

Treasurer’s Report – Karen Snider is working up a new report for the accounts with booster fees, choir fees and graduated students lists.
